Quotes and invoices that went quiet
A free Grok Bot routine for anyone who sends quotes or invoices by email. You send a price, they say nothing, and two weeks later you realize you never followed up. This hands you that list once a week.
What you need
- Grok Bot with Gmail connected.
- A routine that runs once a week, say Friday at 10:00 AM. Ask your bot to save the prompt below as a routine on that schedule.
The prompt
Search my Gmail sent mail from the last 30 days for quotes, estimates, proposals and invoices I sent to customers. For each one, check whether the customer replied or paid after my last message. Skip anything they already answered, anything marked paid, and threads where I said I'd wait. Show me up to 10 that are still quiet, oldest first, with who, what I sent in one line, the amount if it's in the email, days since my last message and a link. Don't draft or send anything until I say 'draft <number>'. If nothing is quiet, send nothing.
Why it works
Most quiet quotes aren't a no. People get busy. One short nudge a week or so later often gets an answer, and this list makes sure you actually send it. Say "draft 3" to get a polite follow-up written, read it, and send it yourself.
Tips
- If your invoices come from an app like QuickBooks or Stripe, tell the bot the sender name so it checks those emails too.
- Once a week is plenty. Running it daily just shows you the same list.
